PlaceOS was founded to solve a problem we experienced firsthand.
Our founders, Jon McFarlane and Steve Von Takach, met while working at the University of Sydney, deep in campus AV and IT. What became clear early was that organisations weren't struggling with a lack of technology — they were struggling with fragmentation. Systems were procured in silos, rarely designed to work together, and almost impossible to evolve once deployed.
Fifteen years ago, we founded PlaceOS specifically to solve that integration challenge. Not by adding another application, but by creating an integration and automation layer that sits above existing systems — connecting access control, room and desk bookings, HVAC, digital signage, and sensors into a single, real-time workplace environment.
Since then, we've worked with leading enterprises including Nestlé, PwC, and Medibank, as well as universities like UCLA, government facilities, and hospitals. That cross-sector experience allows us to bring proven operational and automation patterns into workplace transformation projects, while respecting the complexity and governance unique to enterprise environments.
Big plans, bigger questions.
You know a smarter workplace is the future. But the path to get there is filled with complexity, competing priorities, and risk.
Facilities, IT, HR, and Real Estate have different goals. How do you unite them behind a single vision?
You have systems that don't talk to each other. How do you integrate them without starting from scratch?
You can't afford a costly investment that doesn't deliver clear value. How do you prove the business case?
Employees don't know when to come in, desks sit empty, and collaboration is hit or miss. How do you make the office worth the commute?
The hidden barrier to great workplace experiences.
In most commercial buildings, there's an invisible wall between what the landlord controls and what the tenant can access. Base building systems — access control, HVAC, lifts, parking — sit on one side. Tenant applications — room booking, desk reservations, workplace apps — sit on the other. Neither side talks to the other.
The result? Employees badge in at the lobby but can't book a car park. Meeting rooms are booked but the HVAC doesn't know anyone's coming. Visitors are pre-registered in the tenant's system but still queue at the security desk.
Our consulting process brings both parties to the table.
A well-run discovery engagement doesn't just align internal stakeholders — it opens a structured conversation between landlord and tenant about what's possible when their systems work together.
When that alignment happens, entirely new experiences become possible:
- Seamless arrival — Employee books a desk, car park is reserved, lift is called, and the floor is brought to comfort before they arrive.
- Visitor experiences that actually work — Pre-registration flows through to building security, access credentials are issued automatically, and hosts are notified on arrival.
- After-hours access without friction — Book a meeting room on Saturday, and the building knows to grant access, enable lighting, and adjust climate — without manual intervention.
- Shared amenity booking — Meeting rooms, event spaces, and end-of-trip facilities managed through a single interface, regardless of who "owns" them.
- Real energy savings — Tenant occupancy data informs base building HVAC, so landlords aren't conditioning empty floors.
This isn't just about technology — it's about governance.
Our discovery process defines clear data-sharing boundaries, permission models, and accountability frameworks that let both parties collaborate without exposing sensitive information. The result is a blueprint that both landlord and tenant can commit to.
Your Blueprint for Success.
We've refined a structured, sprint-based process that moves you from ambiguity to an actionable plan. We facilitate the tough conversations and do the technical diligence so you can move forward with confidence.
We run collaborative workshops with your key stakeholders across Facilities, IT, HR, Real Estate — and where relevant, your landlord or building operator — to unify objectives and define what success looks like for everyone.
We go beyond features to capture the real-world user stories of your employees and operators. This ensures the solution is adopted because it solves problems people actually have.
We dive into your existing infrastructure. We audit your systems, sensors, and data sources to map out what can be leveraged, what needs to be connected, and how it all fits together.
We make the vision tangible. Through high-fidelity mockups and workflow diagrams, we validate the most critical user experiences with your team before a single line of code is written.
"A poorly defined scope will derail your project and your procurement. Teams get stuck debating: slow custom solutions or ill-fitting off-the-shelf software. We establish clarity upfront to save millions later. Using application prototypes, we embed the adoption process now, before a high-stakes event leaves no room for error. Ultimately, you get a custom-fit solution that plugs into your standard platforms, solving the debate once and for all."— Jon McFarlane, Co-founder PlaceOS
